Brief: A new, self-managed, multi-clinic management site: online bookings with full, partial or no pre-payment, automated schedule optimisation, automatic reminders 48 and 24 hours before appointments, booking and cancellation requests, AI-powered clinic insights with automated or self-requested reports, gift card sales and management with automated designs, and single or linked clinic scheduling.
Timescale: 2 weeks
Result: 5% less time, week on week since go-live, spent by clinic staff on bookings and booking management.

What it is

TherapyDesk lets clients book, pay and message their therapist, while each clinic manages its own diary, clients and figures in one place, on its own or linked with other clinics. Core-Remedial and The Massaging Witch both take bookings through it. It's our own product: we designed it, built it, and run it.

What we built

Online booking
Clients choose a treatment and a real open slot, with full, partial or no pre-payment. Booking requests and cancellation requests are handled in the app.
Schedule optimisation
Automated optimisation keeps each diary tight. Live availability follows opening hours and every therapist's calendar, so it's never double-booked.
Reminders
Automatic reminders go out 48 and 24 hours before every appointment.
Insights and reports
AI-powered clinic insights, with reports that run automatically or on request.
Multi-clinic
Each clinic manages itself, with single or linked clinic scheduling.
Gift cards
Sold and managed in the app, with automated designs, printed or digital.
Payments
Through SumUp, Stripe, PayPal or Square. Card details never touch the server.
Client records and security
Intake forms, history, notes and private chat. Two-factor sign-in, encryption at rest, a full audit trail and daily backups.
